Workspace and Microsoft 365 are the path of least resistance for a small company and the collaboration is genuinely excellent. They are also per-seat pricing forever, and they put every document, email and calendar inside an account structure you do not control — which becomes a compliance question the moment you have a client who asks.

Nextcloud with its office and groupware apps is the most complete open replacement — files, docs, calendar, contacts and video calls on one system. The honest caveat is that real-time collaborative editing is still not as smooth as Google Docs, so this trade suits teams that mostly edit asynchronously.

Migrating your data

Nearly every Google Workspace, Microsoft 365 competitor listed above ships an import path — CSV, JSON, or a documented export format. The practical move is to migrate one project or one folder first, run both systems side by side for a week, and only then cut over. Export formats are rarely as clean as the marketing suggests, and it is much easier to notice a broken import on a test set than on five years of records.
